Loyalty Card Program – Terms & Conditions

These Terms & Conditions (“Terms”) govern participation in the Loyalty Card Program (“the Program”), operated by Woodies Coffee Shop, which includes both a physical printed loyalty card and a digital loyalty card accessible via the [mobile app/website]. By participating in either version, you agree to abide by these Terms.

1. Eligibility

1.1. The Program is open to all customers of Woodies Coffee Shop.
1.2. Participation in the Program constitutes acceptance of these Terms.
1.3. The Program is intended for personal, non-commercial use only.
1.4. Customers may use either the printed card or the digital version, or both, but balances cannot be merged, combined, or transferred between formats.

 

2. Earning Stamps

2.1 General Rules

2.1.1. Customers earn one (1) stamp for each qualifying purchase of a standard-priced hot drink.
2.1.2. Stamps are issued only at the time of purchase and cannot be added retrospectively using receipts or proof of purchase.
2.1.3. Stamps are not awarded on discounted drinks, complimentary drinks, gift card purchases, or other excluded items as indicated by the coffee shop.
2.1.4. The coffee shop reserves the right to adjust stamp balances in the case of error or suspected misuse.

2.2 Printed Loyalty Cards

2.2.1. Stamps are applied manually by staff at the point of purchase.
2.2.2. Physical stamps cannot be transferred to the digital system or vice versa.
2.2.3. Only one printed card may be stamped per transaction.

2.3 Digital Loyalty Cards

2.3.1. Digital stamps are earned automatically through the loyalty app or digital account when a qualifying purchase is registered at checkout.
2.3.2. Customers are responsible for ensuring that their digital account or loyalty barcode/QR code is presented before the transaction is completed.
2.3.3. Technical issues (e.g., dead phone battery, connectivity problems, or app failures) may prevent stamps from being applied. Stamps cannot be added manually at a later time.
2.3.4. Customers must maintain accurate account information and keep login details secure.

 

3. Redeeming Rewards

3.1 General Rules

3.1.1. Once ten (10) stamps have been collected on either the printed or digital card, the customer may redeem a reward for one (1) free standard-menu hot drink.
3.1.2. Rewards cannot be transferred between printed and digital cards.
3.1.3. The free drink reward applies to standard menu hot drinks only.

3.2 Extras and Special Drinks

3.2.1. Specialty drinks, seasonal beverages, and extras (e.g., syrups, alternative milks, add-ons) may incur an additional charge.
3.2.2. The customer must pay any additional charges at the time of redemption.

3.3 Redeeming Printed Loyalty Cards

3.3.1. A completed printed card must be surrendered to redeem the reward.
3.3.2. Lost, stolen, damaged, or altered printed cards will not be replaced.

3.4 Redeeming Digital Loyalty Rewards

3.4.1. Digital rewards will automatically appear in the customer’s loyalty account once the required number of stamps is reached.
3.4.2. The reward may be redeemed by presenting the digital reward via the app.
3.4.3. The coffee shop is not responsible for technical difficulties preventing redemption.

 

4. Card Use, Validity & Misuse

4.1 Printed Cards

4.1.1. Each printed card is assigned to individual use only.
4.1.2. The coffee shop may refuse any card that appears tampered with or fraudulent.

4.2 Digital Accounts

4.2.1. Customers must keep login credentials secure and confidential.
4.2.2. The coffee shop may suspend or terminate digital accounts in cases of suspected misuse, fraudulent activity, or violation of these Terms.

4.3 Expiry of Stamps & Rewards

4.3.1. Printed and digital stamps may expire after 12 months of inactivity.
4.3.2. Unredeemed rewards may expire after 12 months from the date they are issued.

 

5. Program Changes

5.1. The coffee shop may modify, suspend, or terminate the Program at any time.

5.2. Changes may affect earning rules, reward availability, or eligibility.

5.3. If the Program is terminated, unredeemed stamps or incomplete cards (printed or digital) will become void.

5.4. The coffee shop will make reasonable efforts to communicate major changes but is not obligated to provide advance notice.

 

6. Privacy & Data Protection (Guernsey Law)

6.1. Participation in the digital loyalty card requires the collection and processing of personal data. Please read our Privacy policy for full details.

6.2. Personal data may include:

  • Name
  • Email
  • Account information
  • Purchase history
  • Device data (if using the app)


6.3. Personal data is used for:

  • Operating and administering the Program
  • Awarding and tracking digital stamps and rewards
  • Fraud prevention
  • Customer communications related to the Program


6.4. Personal data will be processed in accordance with:

  • The Data Protection (Bailiwick of Guernsey) Law, 2017

6.5. Customers have rights under Guernsey law, including:

  • Access
  • Correction
  • Erasure
  • Restriction
  • Objection
  • Withdraw consent (for communications)

7. Limitation of Liability

7.1. Woodies Coffee Shop is not responsible for:

  • Lost, stolen, or damaged printed cards
  • Technical issues with the digital card or app
  • Errors in stamp allocation due to system failures
  • Unavailability of specific drinks or rewards
  • Missed stamps due to customer inaction (e.g., failure to present the card or app)

7.2. To the fullest extent permitted by law, the coffee shop excludes liability for indirect, incidental, or consequential losses related to the Program.

 

8. Governing Law

8.1. These Terms are governed by the laws of the Bailiwick of Guernsey.

8.2. Any disputes shall be subject to the exclusive jurisdiction of the courts of Guernsey.

 

9. General

9.1. Participation in the printed or digital Program constitutes acceptance of these Terms.

9.2. The coffee shop’s decisions regarding the Program are final and binding.

9.3. Failure to enforce any right under these Terms does not constitute a waiver.
